Sessions: Can I call my client instead of them calling me?

When you create a session type in Offers, you can choose where the session takes place. If you choose Phone call, this article explains exactly how it works — and what to do if you’d rather call your client instead of having them call you.

How the “Phone call” location works

When you select Phone call and enter a phone number, that number is your number. Your client sees it when they book, and your client calls you at that number at the session time.

The number you enter is shown to clients on the booking page, in their confirmation, and in their reminder emails. It is not the client’s number. Life Coach Hub does not ask the client for their number in this flow.

“But I want to call my client”

This is a common preference, especially for coaching calls. There isn’t a built-in “I’ll call the client” option yet, but there is a workaround for clients who book through your public booking page, with one important limitation, explained below.

The workaround (public booking page only)

  1. When creating or editing the session type, set the location to Other.
  2. In the details box, write what you want the client to see; for example: “I’ll call you at the scheduled time. Please make sure the phone number on your booking is correct.”
  3. Add a phone number question to the intake form attached to that session type, so the client provides their number when they book.

Now, when a new prospect or client books that session through your public booking page, they’ll be asked for their phone number, and you’ll have it for the call.

The important limitation

This only works when the person fills in your booking form, which means public booking page bookings. It does not capture a number when:

  • an existing client books from their client portal (the portal booking doesn’t include an intake form), or
  • you book the session for the client yourself (there’s no form step, and we don’t store the client’s number on their profile).

So if the same session type can be booked by your ongoing clients — from their portal or by you on their behalf — you won’t automatically have their number for those bookings. In those cases you’d need to already have the client’s number from another source (an email, your welcome package, a previous conversation).

Why it’s set up this way

Life Coach Hub is built around ongoing coaching relationships, where most sessions don’t have a form attached. Because of that, we don’t collect a client’s phone number on every booking the way a one-off scheduling tool might. We’re aware some coaches would like a built-in “I’ll call the client” option, and it’s something we may add in future.
