How to use the Engagement Report to manage client health
The Engagement Report shows all your clients in one view, with an at-a-glance signal of whoโs engaged, whoโs gone quiet, and whoโs at risk of dropping off. Itโs the single fastest way to spot drift across your whole client base, so you can reach out before anyone slips away.
Hereโs what it shows you and how to use it.
Whatโs in the report
One row per client. The columns tell you, at a glance:
- Status: type of client (coaching client, prospect, buyer), when they became a client, whether their portal is active
- Sessions: total sessions, upcoming sessions, last session date
- Tool engagement: how active theyโve been with coaching tools over the last 30 days, and how many tools theyโve completed
- Session engagement: how many Coaching Plans theyโve filled in, how many comments theyโve left
- Purchases: orders placed and total spend
- Engagement badge: a color-coded label, Engaged, Quiet, or At Risk
The badge is what you scan first. Green means the clientโs signals are healthy. Yellow means theyโre going quiet but not lost. Red means theyโre at risk of dropping off if you donโt reach out.
How to read the badges
A client gets an Engaged badge when their signals look healthy: regular sessions, active tool engagement, filling in their Coaching Plans, leaving comments. These clients donโt need extra attention.
A client gets a Quiet badge when their activity has dropped but they havenโt disengaged completely. Maybe their last session was two weeks ago. Maybe theyโve stopped commenting. Maybe theyโre showing up but not doing the between-session work.
A client gets an At Risk badge when multiple signals are flashing red. No sessions in a while. No tool activity. No comments. This is the client whoโs about to ghost you.
What to do based on each badge
Engaged. Nothing. Keep coaching. Donโt poke them just to poke them.
Quiet. Send a light, no-agenda message. โHey, thinking of you, howโs the week?โ Often thatโs all it takes to restart engagement.
At Risk. Reach out more directly. Acknowledge what youโre seeing. โI noticed our last session was a few weeks back and we havenโt connected, want to talk about whether the timingโs still right?โ This isnโt a sales pitch. Itโs an honest conversation about whether the coaching is still serving them.
The point of the report isnโt surveillance. Itโs that you can see who needs warming up before they drop off.
The weekly habit
The Engagement Report works best as a Monday morning ritual. Five minutes:
- Open the report
- Scan the engagement badges
- Note any clients who shifted from Engaged to Quiet, or Quiet to At Risk
- Send 1-2 light check-in messages to whoever needs one
Thatโs the whole practice. Five minutes a week, and youโre catching drift two to three weeks earlier than you would otherwise.
Why this matters more than it sounds
Keeping a client you already have is way easier (and way more profitable) than finding a new one. The math is brutal: most coaches spend half their working life chasing new leads when they could be retaining the clients they already have with a fraction of the effort.
