How to schedule a coaching tool to send at a future date

You can schedule any coaching tool in LCH to send to your client at a future date instead of right now. This is useful when you want something to land at a specific moment, weeks ahead, without having to remember to do it.

When this is useful

Mid-program check-ins. Youโ€™re running a 12-week program. Schedule a reflection worksheet to fire automatically at week 6. You donโ€™t have to remember; the system does.

End-of-program reflection. Set a final worksheet to land in the last week of every package. The client has time to reflect before your closing conversation.

Anniversary check-ins. A year after a client completed your program, send them a re-engagement journal prompt or a short worksheet asking how their goals have evolved.

Pre-session prep. If you know you want a particular worksheet completed before next monthโ€™s session, schedule it now while youโ€™re thinking of it.

How to schedule

When youโ€™re assigning a tool to a client, youโ€™ll see an option to set the delivery date. Pick the date you want it to go out. Save.

The tool sits in LCH until that date, then sends automatically. Your client gets a notification, completes the tool in their own time, and their responses land in the Progress Stream just like any other tool.

Combining scheduled tools with your workflow

Scheduled tools work best when you batch them. A few patterns:

At the end of every package, set up the packageโ€™s โ€œautomationโ€:

  • Week 1: Welcome Package (already done)
  • Week 4: First check-in worksheet (schedule at session 1)
  • Week 6: Mid-program reflection (schedule at session 1)
  • Week 10: Pre-renewal reflection (schedule at session 1)
  • Week 12: End-of-program reflection (schedule at session 1)

Now the rhythm of the package is wired in. You can focus on the live coaching while the structure carries itself.

At anniversary dates, send a โ€œwhere are you nowโ€ prompt. Set a re-engagement worksheet to send 6 or 12 months after a client completed a program with you. Light touch. No expectation. Often re-starts a conversation.
